Grasshopper Soccer Geelong (“we”, “us”, “our”) runs non-competitive kids’ soccer for children aged 2–12 at venues across Geelong, Victoria, Australia. We take the privacy of your family seriously — especially your children’s information. This policy explains what we collect, why, who we share it with, and how you can access or delete it. We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

What we collect and why

We only collect what we need to run trials, enrolments and safe sessions:

• Parent/guardian details — your name, email and mobile number, so we can confirm bookings, send session reminders and reach you if needed.
• Your child’s details — first name, age and skill group, so we can place them in the right group and run sessions appropriately.
• Emergency contact — a name and number to call if we can’t reach you during a session.
• Anything you tell us — the optional “anything we should know?” field (e.g. allergies, medical or behavioural notes), used only to care for your child safely.
• Venue and session choice — so we know where and when your child is attending.
• WhatsApp updates (optional) — if you opt in, we use your mobile number to share session reminders and updates via your venue’s WhatsApp group. You can leave the group at any time.
• Payment information — enrolment and shop payments are processed by Stripe. Your card details are entered directly with Stripe and are not seen or stored by us; we only keep a record of the transaction (such as amount, date and what it was for).
• Enquiries via social media ads — if you contact us through a Facebook or Instagram (Meta) lead form, the details you submit there (typically name, email and phone) are shared with us so we can follow up about trials and enrolment.
• Website & advertising data — we advertise on Meta (Facebook/Instagram) and use the Meta Pixel and Conversions API to understand which ads lead to trials and enrolments. This may involve limited technical data (such as pages visited and actions like starting an enrolment), used to measure and improve our advertising.

How we use your information

• To contact you about a free trial or enrolment and to confirm your booking.
• To run the program — grouping, communication, session reminders and updates.
• To keep children safe (emergency contact and any medical/needs information you share).
• To process payments and keep basic financial records.
• To measure and improve our advertising so we reach families who’d value the program.

Who we share it with

We do not sell your or your child’s information, and we don’t share it except with the trusted service providers that help us run the business:

• Supabase — securely stores our enrolment and booking records.
• Stripe — processes card payments.
• Resend — delivers our confirmation and reminder emails.
• Meta (Facebook/Instagram) — for advertising and, if you used a lead form, delivering your enquiry to us.

Each of these providers handles data under their own privacy terms, and some may store or process data outside Australia. We share only what’s needed for them to do their job. We may also disclose information if required by law.

Children’s information

We collect a limited amount of information about children (first name, age, skill group, and any notes you choose to share) solely to run our sessions and keep them safe. This information is always provided by, and collected with the consent of, the child’s parent or guardian. We treat it with extra care and never use it for anything other than delivering and improving the program.

How long we keep it

We keep your information for as long as you’re involved with Grasshopper Soccer Geelong, and for a reasonable period afterwards so we can recognise returning families and meet our record-keeping needs. If you’d like your information removed sooner, just ask (see below) and we’ll delete or anonymise it where we’re not required to keep it.

How we protect it

Your information is stored in secure, access-controlled systems and transmitted over encrypted connections. Access is limited to the coach/administrator who needs it to run the program. Card details are handled entirely by Stripe and never touch our systems.

Your choices and rights

You can ask us to access, correct or delete the personal information we hold about you or your child at any time — just email geelong@grasshoppersoccer.com.au. You can also opt out of WhatsApp updates (leave the group) and of personalised Meta ads through your Facebook/Instagram ad settings or your browser/device settings. If you have a concern we can’t resolve, you may contact the Office of the Australian Information Commissioner (oaic.gov.au).

Changes to this policy

We may update this policy from time to time as the program or our tools change. The “last updated” date at the top shows the current version.
